For industrial maintenance contractors

The FLRA writes the LEM. The LEM writes the invoice.

Built around how your clients actually approve and pay, so the hours between the tailgate and the paid invoice come back to you. Get your evenings back. Don’t take our word for it: do the FLRA, sign the LEM, and watch the invoice find its way to paid.

Paid. Dec 4, marked by your office from the remittance. Matched to the PO line, the work order and the signed LEM.

Your office updates each stage as the owner’s system shows it: a two-click update, not a live feed.

Sound familiar?

Twenty-five people. Ten permits a day. No manual.

Picture a maintenance contractor running about 25 people. The foremen sign off around ten permits a day. And every day, hours go into the owner’s systems: the work order, the permit, the LEM, the service entry sheet, the supplier portal. None of it came with a manual or a framework, and every owner does it a little differently.

That’s what we give them: the manual, the framework and the guardrails. And money back through efficiency.

  1. The manual

    Each owner’s way, written in.

Their work order numbers, their permit, their rate sheet, their approvers. The app asks for what that owner needs, in the order they need it.

  2. The framework

    One flow, typed once.

Work order to FLRA to LEM to invoice to paid. The hours the foreman enters at the tailgate are the hours on the invoice.

  3. The guardrails

    Mistakes stop at the phone.

No closing an FLRA with a permit still open. No invoice without a client signature. A warning at 75% of the PO.

  4. Time back

    Evenings and weekends, returned.

No chasing timesheets, LEMs or payments between tools. Work out your time back.

A two-minute diagnostic

Where did your last invoice die?

Pick where it stalled and what it was worth. You’ll see what the wait cost you, and the guardrail that stops it next time.

Pick the stage where it stalled

What it cost you

$473to carry it

$48,000 × 8% × 45 days ÷ 365 = $473

Amount × rate × days late ÷ 365. Use your line of credit’s rate. It doesn’t count the hours spent chasing it.

01 · Work before the PO

The work was done on a verbal OK.

A callout or extra scope started before the PO existed. The PO comes weeks later, or never, and the invoice can’t go in without it.

How we prevent itCallouts and extra scope are recorded with who approved them, when, and the reference. Work with no PO number stays flagged on the office board until one arrives.

GuardrailNobody has to remember. The flag stays up until the PO is on file.

Field to Paid

02 · LEM unsigned

The rep rotated out. The LEM sat.

No signature, no service entry sheet, no invoice. The clock runs while the LEM waits in a truck or an inbox.

How we prevent itThe LEM builds itself from the FLRA and the rep signs it on the foreman’s phone at the tailgate, or from a link the same day. Every unsigned LEM is listed by age, with who it’s waiting on.

GuardrailNo client signature, no invoice. A dispute comes back on the LEM with the rep’s reason, not in an email chain.

Safety & LEM crew app

03 · Rates didn’t match

A rate from memory, or last year’s sheet.

Accounts payable compares the invoice to the contract. One rate off and it’s rejected at the match.

How we prevent itEvery line is priced from that client’s rate sheet. Rates go in at the office after the client signs, so the field never sees them.

GuardrailEvery change to a rate on an invoice is recorded, with who made it and when.

Field to Paid

04 · One disputed line

One query held up the whole invoice.

A single line is questioned, or the backup is missing, and the whole invoice goes back to the start.

How we prevent itDisputes are settled on the LEM, before it becomes an invoice. Invoices split by work order, so one question doesn’t hold up the rest.

GuardrailA disputed LEM can’t be billed until it’s revised and signed again.

Field to Paid

05 · The PO ran out

The work outran the PO.

Callouts and scope growth used up the PO’s value. The work is done; the money waits on an amendment.

How we prevent itEvery PO’s value is tracked against the signed LEMs written under it, as they’re signed.

GuardrailA warning at 75%, so the amendment is asked for while there’s still room on the PO.

Field to Paid

06 · Portal rejection

The supplier portal bounced it.

A missing PO line, work order or backup, and the invoice is rejected. The clock restarts from zero.

How we prevent itEvery invoice comes out as a package ready to upload: the PO, the work order and the signed backup, together.

GuardrailAn invoice is only ever drafted from a signed LEM, so the backup is always there.

Integrations

07 · Nobody chasing

It sat in someone’s queue.

Somewhere in the owner’s process, waiting on someone. Nobody knew who, so nobody called.

How we prevent it“Where’s my money” shows every invoice at its owner stage, how long it’s been there and who it’s waiting on.

GuardrailAnything stuck lands on the Monday chase list, with the facts to escalate with.

Field to Paid

No system can make an owner approve faster. This makes your side airtight and shows you exactly where to push.

How it works

Three steps. The third one is the offer.

  1. 01 · 30 minutes

    A look at your paperwork

Show us a FLRA, a LEM, a rate sheet, or the invoice that’s been sitting. We tell you what we’d set up first and what it costs, in writing.

  2. 02 · Built for you

Your forms, running in your colours

Your forms, your rates, your clients’ rules. Your crews open it and recognize their own paperwork.

  3. 03 · Our offer

    Prove it in 30 days

Your crews run it on real work for 30 days before the first monthly fee. If it isn’t earning its keep, stop there and you never pay a month. The terms

Small firms start in days. Larger firms pilot one crew or one client, then scale. How the rollout works

Behind on LEMs and invoices? Start here.

A small crew, paperwork at the kitchen table, a few jobs not billed yet. Plain words, a ballpark price, and what it takes from you.

Next step

Bring one form. We’ll show you the rest.

Send a FLRA, a LEM, a rate sheet or the invoice that’s been sitting. In 30 minutes we’ll show you what we’d set up around it, and what it costs. Then it runs 30 days on your real work before the first monthly fee.
